Job Description

Provide administrative support to the Vice President, Global Store & Brand Planning and some general office.

Key Responsibilities:

• Maintenance of calendar.
• Coordinate worldwide travel and appointments with comprehensive and complex itineraries for Vice President and Directors.
• Manage the coordination of meeting space and the preparation of confidential documents for presentation.
• Process incoming & outgoing correspondence and compose responses as appropriate.
• Schedule staff meetings; schedule one on one meetings with direct reports; as well as with DFS departments, regions, and external contacts; initiate follow up to confirm meeting schedules.
• Ensure all appropriate technology is working in advance of meetings and or conference calls.
• Provide administrative support for the team including PowerPoint presentations, spreadsheets, word processing, and all other tasks needed to support the team.
• Maintain record and filing systems.
• Create and process invoices via P2P system.
• Manage expenses and billings.
• Coordinate varied projects as assigned.

Key Requirements:

• Minimum 2 years administrative experience in a fast-paced environment reporting to senior level executive.
• Self-starter, able to work independently and interactively.
• Excellent organizational and prioritization skills; ability to juggle multiple projects.
• Ability to perform at a high level consistently in a fast-paced environment and provide rapid turnaround on assignments.
• Able to handle sensitive and confidential matters with discretion.
• Excellent verbal, and written communication skills; able to compose and edit correspondence.
• Professional, personable, and diplomatic in all communications and interactions.
• Resourceful, logical and creative problem solver.
• Strong numbers aptitude, able to compile statistics.
• Computer proficiency: Word, Excel, PowerPoint, and calendar software; database experience helpful.
