Job Description

The Personal Assistant assists and supports the VP Italy by carrying out administrative assignments accurately and in a timely manner. The Personal Assistant often acts as the manager's first point of contact with people from both inside and outside the company filtering information anticipating needs and developing the right network inside and outside the company to facilitate the relations of the VP.
The EA also acts as business analyst, understanding figures, analizing sales performance, identifying trends offline from the official reports channel to highlights to the VP situations where an intervention is required both to invert the trend or to replicate the formula.
The VP Executive Assitant also attend operational meetings with or without the VP to collect all necessary information to justify and explain performances.
Special projects are frequently assigned based on personal attitude.

Key Responsibilities:
• Provide administrative and personal support.
• Maintain and update calendar and coordinate meeting appointments and conferences.
• Arrange travels, visas and accommodation.
• Screening phone calls, enquiries and requests, and handling them when appropriate.
• In charge of various correspondence, reports, documents, minutes and presentation materials analyzing and summarizing the contents to save time and increase productivity.
• Establish and maintain record and filing systems.
• Undertake special and ad hoc project assignments as required.
• Office management: coordination of IT and phone implementation, buying of furnitures and office supplies, follow up of invoices, expense reports, contact with providers …..

Key Requirements:
• Bachelor Degree
• 5 years experiences in assisting senior level executive in international company. An experience in a small/medium company will be a plus.
• Fluency in English and Italian, French as a plus.
• Strong skills in MS computer applications (Excel, Word, Powerpoint) required.
