Job Description

The Operations/Client Services Assistant provides administrative support to the Operations/Client Services Department. Duties include general clerical, Customer Claims, VIP Client Contact and other administrative work as required to support the smooth operations of the departments.

Key Responsibilities:
1. Work with Sales Audit team to resolve register cash variances, non-charges, no transactions, and double charge issues. Report Point of Sale (POS) system errors, cash overage/shortages, and possible chargebacks from customer claims.
2. Prepare location specific register floats confirmation, and manager’s bank report on a monthly basis.
3. Monitor overtime (OT) in location through Kronos system tracking, and reporting the results to management monthly.
4. Resolve customer claims quickly and effectively including: returns, refunds, undelivered bags, and defective products.
5. Assist with staff schedules, and assist in updating employee’s schedules into Kronos.
6. Assist with managers’ business, and travel expenses preparation and submissions for reimbursement.
7. Assist with the submission and tracking of petty cash reimbursements.
8. Provide support in the organization and distribution of employees’ Commission and Spiff reports.
9. Communicate needs and progress with staff in daily briefings and team meetings.
10. Leverages MS Excel to compile relevant data, quantify it, and report results effectively.

Other Duties:
• Reporting – Reporting of miscellaneous and evolving mission critical information, in partnership with Operations Support Manager to include: time-keeping violations, Policy and procedures, and scheduling

Client Services

Job Responsibilities:
1. Maintain DFS customer service program (Loyal T membership) database. Responsible for updating member information and data accuracy.
2. Promote and enhance Loyal T program and other marketing campaign at LAX.
3. Establish and build strong customer relationships by attending and hosting local company events.
4. Work with staff to collaborate and provide a luxury shopping experience and personalized service to DFS Loyal T members.
5. Communicate with Loyal T members on special promotions and events through various communication channels such as a phone call, email, and via social media.
6. Assist tour groups traveling through LAX and maximize the sales from each of the tour groups.
7. Complete internal reports, presentations and participate in various projects as/when required.
Other Duties:
• Event invitation- Invite customer to the VIP exclusive events such as Master of Time(MOT), Master of Wine(MOW), and other Los Angeles related events
• Loyal T Program support
- Conduct Loyal T related trainings to Sales staff
- Conduct quarterly Loyal T Collateral inventory counts and ordering
- Replenish and organize signup materials for store locations
- Conduct Loyal T signups, prepare gifts, thank you notes for Loyal T Stars and certificate for the winners. Create power point slides to recognize these stars
- Handle all administration for Loyal T signups, data entry to Loyal T System and manual entry of associate transaction to Customers’ account
- Support Loyal T promotion by making note on the register, educate sales staff to apply the discount on POS system, brief managers and team leads the details of the marketing promotion
- Assist with the Client Services Manager Monthly report
- Assist to translate/revise Loyal T promotion information on signage, flyer, and brochure
- Promote Loyal T program by attending networking events such as LATCB China Ready Trade Show, Chinese Tourism group meeting.
• Tourism group- prepare gift bag, Loyal T collateral and meet with tour guide/leaders when big groups are flying out from TBIT, T2, T5, T7. Tracking and calculate group sales based on the name list provided by the tour guide.
• Attend VIP events- work with AEG to provide special, luxury customer experience to VIP customer. For example: Master of Chef, NBA games, Jingle Ball concert, and Grammy Awards.

Key Requirements:
Educational Requirements: BA or AA College degree or equivalent
Work Experience: 1-2 years in office administration
Licenses / Certifications

Critical knowledge & skills including tools, software applications, language, etc.

Fluency in English language required; writing, reading and speaking. (Second language in Mandarin preferred)
Proficiency in Microsoft Office applications (MSWORD, MSEXCEL, POWERPOINT)
