Job Description

Provide secretarial & administrative support to the General Counsel & EVP and the team

Key Responsibilities:
• Provide full spectrum secretarial & administrative support to the General Counsel & EVP
• Coordinate varied projects as assigned and assist the General Counsel & EVP in achieving the objectives and deadlines on daily basis
• Assist the existing Company Secretary with related administrative matters
• Produce and generating reports, maintain records and filing systems
• Coordinate worldwide travel and appointments with comprehensive and complex itineraries for the General Counsel & EVP and the Vice Presidents
• Process incoming correspondence and monitor to ensure timely action is taken. Process outgoing correspondence and compose responses as appropriate
• Schedule meetings with direct reports as well as DFS departments, regions and external contacts; initiate follow up to confirm meeting schedules
• Manage the coordination of meeting space and the preparation of confidential documents for presentations
• Ensure all appropriate technology is working in advance of meetings and or conference calls
• Manage budgets and expenses

Key Requirements:
• University Degree preferred or equivalent work experience
• Minimum 8-10 years relevant experience in law firms or corporate legal team reporting to senior executive
• High Computer proficiency: Word, Excel, PowerPoint, Outlook and calendar software; database experience helpful, shorthand.
• Excellent verbal, and written communication skills; able to compose and edit correspondence in a professional manner
• Self-starter, able to work independently and interactively with all levels of seniority
• Excellent organizational and prioritization skills; ability to juggle multiple projects
• Ability to perform at a high level consistently in a fast-paced environment, and provide rapid turnaround on assignments
• Able to handle sensitive and confidential matters with discretion
• Professional, personable, and diplomatic in all communications and interactions
• Resourceful, logical and creative problem solver
• Strong numbers aptitude, able to create templates, reports and compile statistics
