Specialist, Talent Support - JFK
What you'll be doing?
The Talent Support Administrative Assistant role remains focused on the effectiveness of payroll and employee related expense lines in the business unit, connected on staffing related administration such as airport badging, staff attendance recordkeeping, productivity reporting, vendor-funded staff-related report coordination, location staff commission calculation and incentives tracking. In addition, they are responsible for staff leave administration, ensuring that staff are scheduled effectively, and the operation has appropriate floor coverage and effective on-boarding for new staff transitioning to the location team.
Staff Scheduling, Productivity Reporting & Payroll Administration
- Prepares and issues an effective monthly staff schedule for all teams in the location(s).
- Coverage and schedule preparation is to be timely, in close liaison with the PSM/AGM for an understanding for required staff coverage in consideration of relevant business needs, events, predicted customer traffic and work flows, internal and vendor training, and remains aligned with staff policies, regulations.
- Collates staff leave requests for the PSM or AGM to review for potential approval, with appropriate consideration of forecasted business needs including scheduled PSM / Merchant calls, location events, employee request context and in line with relevant employee regulations, policies, procedures and leave benefit entitlements.
- Tracks, receives, actions, records and communicates amendments to staff leave and schedules when unforeseen adjustments are required.
- Ensure that, in collaboration with the PSM or AGM, all staff have a clear contact point for calling in with updates or changes relating to attendance and punctuality. Monitor, record, action and communicate these updates internally to the appropriate line manager and contact for appropriate follow up action.
- Actions time and attendance record keeping for accurate processing and record keeping. Ensures all required paperwork is promptly forwarded, liaising with PSM/AGM, HR Manager and Compensation & Benefits (C&B) for accurate payroll processing and employee entitlements record keeping.
- Prepares regular reports on attendance and punctuality for appropriate team line managers’ review
- Maintains the store team leave accrual records and regularly reports on leave liability balances.
- Produce and distribute staff sales productivity reporting to PSMs and other relevant line managers at required frequencies and in the standard format.
- Add/Delete employee users from the POS system.
Pay, Commission & SPIFF Handling
- Promptly responds to staff pay related queries referring any unresolved queries to the OSM, AGM, Divisional Finance Team or appropriate local Payroll administrators.
- Assist the OSM/AGM to communicate, track and administrate all approved commission and incentive schemes, including vendor funded or vendor supported incentives overseeing timely delivery to store teams.
- Assist to manage the location administration of other approved staff related benefits in collaboration with Operations and Human Resources including internal Recognition and Reward programs.
- Process invoice payments and related accounts payable tasks.
Badge Management
- Responsible for the AOA Security badge and Airport Sterile badge
- Maintain logs of all active/inactive badged employees/DFS Vendors
- Assist employees/DFS vendors with badge process
Ideal Candidate
- High school diploma or equivalent
- Minimum 1 year’s administrative experience
- Able to handle confidential information with discretion
- Demonstrate the ability to evaluate and prioritize tasks to manage workflow
- Able to work independently with minimal supervision
- Able to work quickly and accurately, with attention to details
- Strong verbal and interpersonal skills with ability to communicate effectively
- Pay range $23 - $30
