Shipping Specialist
Position Summary
To support Regulatory team in preparation of documentation for import customs clearance and exports to other divisions and vendors. Liaise with Vendors, Planning team, Finance team and warehouse personnel for supporting documents to Customs for shipment clearance and closure of shipments such as shortages or excess or damages or missing documents. Responsible for daily operations, application of permit and licenses and coordinate with internal and external party (customs broker) for import and export customs clearances. To ensure all tasks are performed in a timely manner and in accordance with DFS standards and regulatory requirements.
Job Description
- Prepares documentation, maintain records and coordinate with freight forwarders for clearance of cargo on time to achieve KPI.
- Communicate and liaise with freight forwarder, government authorities, warehouse and other departments or divisions for smooth customs clearance and movement of both duty paid and duty suspended goods.
- Liaise with warehouse, inventory, and Customs on shipment discrepancies eg. shortages, excess and damaged shipment
- Creates shipping documentation for export shipment, coordinate with DFSL team or freight forwarders and send pre-alert to various parties concerned.
- Process shipping documents daily with accuracy and in timely manner
- Validate all relevant movement permits, including local RM permits, to ensure compliance.
- Maintains VDP, inbound and outbound shipping log.
- Ensure MSDS is available for export shipments. Maintain and retrieve MSDS as and when required.
- Application of CITES / Pre-signed CITES certificate for import and export of CITES shipments or local store sales.
- Coordinate with store team on store return shipments.
- Process and report of claims to freight forwarder. Monthly shipping claim report submission to DFSL.
- Maintain SOP and ensure timely update and compliance with SOPs.
- Month end closing of reports and dashboard to various departments.
- Timely escalations on issues to management when necessary
- Perform any other adhoc duties as requested by Managers.
Key Requirements
- Knowledge/Experience of Customs documents processing and good understanding of regulatory requirements on import and export shipments and movement of duty suspended goods
- At least 2 years’ experience in similar role
- Excellent Microsoft office skills, particularly Advanced Excel
- Prefer experience with SAP
