Freight Supervisor
What you'll be doing?
The Freight Supervisor plays a crucial role in ensuring the accuracy and compliance of our freight invoice audit processes. The successful candidate will have a good understanding of freight billing practices and have competency in optimizing invoice audit processes. In this role, you are to maintain close collaboration with Logistics Service Providers (LSP) and DFS 4PL Control Towers to ensure freight invoices are submitted in full and on a timely manner.
Claim management would be the next area that Freight Supervisor need to focus on in ensuring all claim is being followed up closely and appreciate claim metrics is being measured.
The Freight Supervisor also have responsibilities for ensuring Inbound Delivery (IBD) are available promptly and accurately to avoid delays in goods receiving process. You will need to coordinate between Finance, Divisions and outsourced vendor (IVI) to ensure IBDs are available, and IBD exceptions are addressed in a timely and accurate manner.
Aside from the above, the Freight Supervisor must be able to handle essential analysis work in support of the Senior Manager, Freight Procurement. Reports into the pricing trend, IBD readiness and freight spends are some examples of core freight reports which this role is expected to manage.
Freight Invoice Audit
• Audits freight invoices to ensure billings are made accurately against agreed rate cards; Timely processing of freight invoices for payment.
• Follow up closely with appointed LSP for invoice submission for internal audit and processing.
• Collaborate with internal stakeholders, especially finance, to enhance cross-functional communication and optimize invoice reconciliation processes. (through SOA management)
• Assist in developing and implement best practices for invoice verification and discrepancy resolution
• Assist in introducing potential technology solutions, such as audit software and automation tools, to enhance the efficiency of the invoice audit function.
• Assist in preparing monthly analysis on freight spend and provide insights about cost and risk reduction opportunities
Claim Management
• Collaborate with cross-functional teams to gather necessary documentation and facilitate swift claim submissions.
• Manage the claims management process for damaged, lost, or misdirected shipments, ensuring effective resolution.
• Monitor KPI performance on outstanding claims and communicate closely with our internal insurer whenever required by SOP.
• Track claims metrics and provide insights on trends and areas for improvement.
• Prepare monthly report and analysis on current outstanding claim.
IBD Management
• Prompt communication to internal stakeholders on shipment status and reacts to IBD related problems in a productive manner.
• Maintain strong rapport and working relationship with outsourced vendor on the creation of IBDs
• Ensures IBD are generated in systems accurately and on-time for inbound shipments.
• Resolve IBD exceptions accurately and promptly, ensuring minimal disruption to other downstream processes such as warehouse goods receipts and finance merchandise invoice payment.
Reporting
• Develop core freight reports together with Senior Manager, Freight Procurement to deliver summarized views over freight spend, KPI, trends studies for Management review
• Any other reports and tasks as deemed reasonable by DFS organization for this role
Ideal Candidate
- Minimum Diploma and above in logistics or supply chain or relevant discipline
- Minimum 3 years with freight billing related experience
- Self-motivated, deadline oriented
- Collaborative, works well with team
- Must be an excellent communicator with an eye for detail.
- Proactive and work with sense of urgency to resolve freight issues.
- Demonstrate professional and polite demeanor with stakeholders.
- Strong analytical skills with proficiency in data analysis and reporting tools.
- Proficient in English
- Proficient in Microsoft Office Suite (Excel, Powerpoint),
- Minor understanding of PowerBI tools or any other analytical tools
- Good organizational skills and constantly seeking to improve productivity.
- Knowledge of freight rates and incoterms will be an advantage.
- Knowledge of SAP will be an advantage.
