Executive Assistant

What you'll be doing?

Purpose and Objective of Position  

• Provide administrative support to CFO & COO and team 


POSITION RESPONSIBILITIES:
• Provide full spectrum secretarial & administrative support to the senior executive
• Coordinate varied projects as assigned and assist in achieving the objectives and deadlines on daily basis
• Assist the existing team with related administrative matters
• Produce and generating reports, maintain records and filing systems
• Coordinate worldwide travel and appointments with comprehensive and complex itineraries 
• Process incoming correspondence and monitor to ensure timely action is taken. Process outgoing correspondence and compose responses as appropriate
• Schedule meetings with direct reports as well as DFS departments, regions and external contacts; initiate follow up to confirm meeting schedules
• Manage the coordination of meeting space and the preparation of confidential documents for presentations
• Ensure all appropriate technology is working in advance of meetings and or conference calls
• Manage budgets and expenses

Ideal Candidate

Knowledge, Skills and Abilities Required  

• Educational Requirements: University Degree preferred or equivalent work experience    
•Work Experience: Minimum 10 years administrative experience in a fast-paced environment reporting to senior level executive.     
•Critical knowledge & Skills, including software applications, languages etc.: High Computer proficiency: Word, Excel, PowerPoint, and calendar software; database experience helpful. Excellent verbal, and written communication skills; able to compose and edit correspondence.    
•Self-starter, able to work independently and interactively with the EVP, VP and staff.
•Excellent organizational and prioritization skills; ability to juggle multiple projects.
•Ability to perform at a high level consistently in a fast-paced environment, and provide rapid turnaround on assignments.
•Able to handle sensitive and confidential matters with discretion.
•Professional, personable, and diplomatic in all communications and interactions. 
•Resourceful, logical and creative problem solver. 
•Strong numbers aptitude, able to create templates, reports and compile statistics.
