Job Description

The incumbent will be responsible for providing reception and administrative support to the office employees and external visitors.

Key Responsibilities:
Mail Management
• Incoming fax thru email dissemination to other depts
• Collect, sort and distribute mail from post box
• Prepare outgoing local courier
• Frank and record of outgoing mail
• Sort and distribute interoffice mail rec'd from interoffice despatch staff
• Record and distribute incoming courier
• Prepare outgoing overseas courier
• Top up franking machine

Reception & Visitors Management
• Welcome and register visitor and issue out visitor pass and inform host employee
• Ensure reception and surrounding is clean and tidy
• Answer all incoming calls and query
• Monitor CCTV and inform management if there is abnormaly
• Update telephone extension listing

Meeting Room Management

Ordering & Inventory Management of office supplies

General Administration
• Reconcile invoices against order and process payment
• Process Group Procurement invoices for payment
• Maintain CA spend data on supplies and services

Center Mgt Office Coordination
• Season car park lots renewal

Key Requirements:
• At least a Diploma qualification
• Minimum 2-3 years relevant working experience (preferably from a MNC environment)
• Must be proficient in MS Office applications and computer savvy
• Able to handle multiple priorities and work well under time pressure to deliver within deadlines
• Good communication and writing skills. Reliable and Independent
• Attention to details
• Proactive team player with excellent interpersonal skills. Able to work well with all levels in
the organization
• Strong analytical, organizational and planning skills, and problem-solving abilities
