Job Description

The Logistics Officer is responsible for providing the Customs Broker with all the vendor documentation required to complete Customs clearance and supporting the 3PL with the warehouse inbound process to ensure KPIs are met and the flow of goods is efficient and optimized.

Key Responsibilities:
3PL Management
• Full understanding of the scope of responsibilities and obligations of the 3PL as set forth in the service agreement between DFS and the 3PL.
• Align with the 3PL to ensure that the responsibilities of all parties are clear and well-defined.
• Consolidate vendor shipping documentation to support the 3PL in the Customs clearance process
• Maintain effective communications and relations with the 3PL. Ensure issues and problems are resolved in a timely and professional manner.
• Maintain frequent communication and updates with Freight Forwarders, Transport carriers and Customs brokers
• Manage the systems purchase order release process to ensure 3PL has all the required systems and physical documentation to complete warehouse activities
• Ensure Customs compliance in the area of import and export
• Manage the discrepancy handling process between the 3PL and internal DFS departments ( Finance, Inventory control & Logistics)
• Verify the accuracy of the import documentation and maintain an activity log for the appointed broker
• Troubleshooting for issues which may arise that affect the delivery of product, customs clearance or regulatory reporting
• Reporting on cycle time performance for 3PL and Customs broker
• Prepare Export documentation and arrange transportation of export
• Prepare submit and communicate claims for any missing or damaged shipments Operations
• Optimize Customs clearance process & warehouse inbound operations
• Ensures all warehouse transactions are properly and accurately processed. Data in systems and manually if systems are not available, are updated timely and accordingly per established policy and procedures.
• Takes measures to reduce the cycle time from port to available-for-sale.
• Demonstrates continuous improvement in output and in exception and error reduction.
• Develops, maintains and updates the warehouse SOPs on a regular basis.
• Complete internal reports and participate in various projects as/when required
• Actively pursue opportunities to reduce shipping lead times and cost. Controls
• Well-versed, and compliant with Customs regulations and other governmental laws and regulations affecting DFS’s operation in the location. Ensures that the 3PL is compliant.
• Ensures all duties and taxes are accurate and compliant; and submitted per established procedures and guidelines by Customs and other Regulatory agencies of that jurisdiction.
• Ensures information and data from and to 3PL is vetted and is accurate.
• Maintains appropriate levels of confidentiality with 3PL.
• Ensures 3PL and supplier invoicing, and other disbursements are vetted and accurate.
• Ensure shipments are cleared as per KPI
• Ensure timely reporting of claims and accurate reporting of discrepancies

Key Requirements:
Bachelor’s Degree in Logistics or Supply Chain Management preferred. Bachelor’s degree in a relevant academic area such as Engineering, Accounting, etc. may be substituted. 5 years experience in Supply Chain, Logistics or Customs Brokerage Fluency in English and French. Strong competencies in Customs clearance, freight & warehousing Proficient in MS computer applications (Excel, Word, Powerpoint) intermediate required. Good problem solving skills using Quality Improvement methods SAP knowledge is an advantage
