Job Description

DFS is seeking a Coordinator with a background in retail operations or merchandising to manage the global promotion process system and associated processes. A key aspect of the role will be working with the marketing, merchandising and store operations teams globally to ensure seamless planning and execution of promotions in stores.

Key Responsibilities:
Cross-functional responsibilities:
• Work collaboratively with business stakeholders, including setting and identifying needs of each team and recommend solution if needed Systems:
• Be the global expert and go-to person for all matters related to the creation and management of promotions in the promotions system and related processes at DFS.
• Work with Inventory Control, Store Operations to identify and ensure consistency in setting up promotions at the point of sales (POS) Process improvement and implementation:
• Enhance and re-work processes as necessary to ensure efficiency and seamless execution of both system in-stores and communication between business teams
• RACI gate keeper, responsible for maintaining the RACI chart for promo Tool and mapping of Creator vs Approver.
• Responsible for monthly monitoring of promotions list and calendar activities of visual assets booking accuracy, able to recommend recommendation if needed
• Work with promotion managers and Inventory manager to ensure that they are using standardized discount code, customer type and MCS code Training:
• Work with manager on conducting weekly training for new joiners and re-training for existing users on systems and process changes for promotion Tool
• Enforce processes and facilitate communications amongst teams when necessary
• Responsible for updating the training deck according to target audience Admin:
• Manage promotions system user accounts: ensure accounts are active, user settings are up to date, passwords are functioning
• Carry out administrative tasks including raising requests to Global IT, reporting incidents to relevant parties, scheduling meetings with internal and external stakeholders, creating high quality, engaging PowerPoint presentations
• Keep records of meeting minutes, agendas and follow up on tasks to ensure prompt completion
• Responsible for coordinating meeting and attendee
• Running monthly promotion list by division and by category

Key Requirements:

• Bachelor’s university degree or equivalent in Business Management or related field
• Experience in the retail industry (merchandising and/or store operations)
• Confident presenter and experience in training teams
• Proficient in Excel, PowerPoint & Microsoft office functions
• Excellent communication and interpersonal skills
• Fluent in written and spoken English
• Organized: organizational and prioritization skills
• Collaborative: Must be able to work cross-functionally with diverse nationalities
• Flexible: Ability to drive and lead change and work in a fast-paced environment
• Self-starter: Must be able to work independently and have a hands-on mentality
